This Privacy Policy explains how the WhisText app (hereinafter, “the App”) handles user data.

• Audio files recorded or imported by the user
• Transcripts, summaries, and meeting minutes generated by the App
• Basic usage logs (e.g., number of transcriptions, processing timestamps, non-identifying analytics)
• Optional integration tokens (e.g., Slack access tokens) if you connect third-party services
• Push notification identifiers (e.g., a device or external user ID) for delivery of status updates

2. How We Use Your Data

We use the data to:

• Perform speech-to-text processing and generate summaries or minutes
• Deliver app functionality (e.g., sending completion notifications, posting to Slack when enabled)
• Improve reliability, performance, and user experience (e.g., troubleshooting, error logs)

3. Third-Party Services

The App may interact with the following third-party services to provide its features. These services are subject to their own privacy policies:

• Slack API (optional, for posting transcripts/summaries/minutes to your selected channel)
• Apple services on iOS (e.g., notifications, system frameworks)
• OneSignal (push notification delivery)

Limited Use: We do not sell user data and do not use third-party user data for advertising. Transfers to third parties occur only when you enable related features.

4. User Consent

Audio and text data are transmitted to servers or third-party services only when you initiate actions that require it (e.g., uploading for processing or posting to Slack).

5. Data Retention

Processed data (e.g., transcripts) are stored locally on your device unless you choose to share or export them. When server-side processing is used, audio files uploaded for processing are retained only as long as necessary for completion and troubleshooting, then deleted. You can delete local items within the App at any time.

6. Security

We take reasonable measures to protect user data. However, no method of transmission or storage is completely secure. Integration tokens (e.g., Slack) and similar secrets are stored securely on your device (e.g., Keychain) and are not stored on our servers unless explicitly required for the feature you enable.

We may update this Privacy Policy from time to time. Please review it periodically for changes.
